A Quality Inspector's Checklist for Lamy Pens, Refills and Sublimation Printing

I'm a quality/compliance manager for a stationery distributor. I review incoming writing instrument and print orders before they're released—roughly 150 lots a year. Maybe 140 if you count only full inspections, but you get the idea. I'm not a Lamy employee and I'm not a color management expert. I am the person who catches small spec issues before they become expensive returns.

Where this checklist applies

Use this checklist when you are buying Lamy pens in quantity, need the right Lamy refill code, or need to set up a sublimation printer for custom stationery. It works for corporate gifts, dealer stock, and a first special edition order like a Lamy Pokemon pen.

If the job is really about a high-end executive gift with status as the main goal, this is not the checklist for that. That's a different brief and a different budget. I'd rather be honest with you than send you down a path that doesn't fit.

Step 1: Choose the Lamy model based on who will actually use it

Lamy has a wide range, so start with the user, not the logo. The classic Safari works as a daily writer and school or office tool. The Lamy Pokemon pen is a special-edition product; part of the value is the design, the artwork, and the collectible package. If the recipient wants a dependable note-taking pen, the standard line is the safer buy. If they want the Pokemon design, get the special edition. Just don't assume the special body means a different internal writer.

On special edition lots, check the barrel imprint, cap fit, and outer packaging. A pen with a beautiful body can still be rejected for a scratched barrel or a misaligned print. The decorated version usually needs a separate quality check from the plain version.

Step 2: Confirm the correct refill or cartridge code before ordering

The pen model tells you the barrel style. It does not tell you exactly which refill is inside. A Lamy fountain pen uses Lamy cartridges and, for bottled ink, the converter made for that model. A rollerball or ballpoint that uses the Lamy M17 refill will need that number—not a color name and not a generic replacement—unless Lamy's compatibility chart says otherwise.

I always ask a new customer to read the number printed on the old refill. If a customer asks about the Lamy M17 refill, I don't guess from memory. The code on the refill is the source of truth. And in a bulk order, do not let a supplier substitute a slightly different refill because the requested one is out of stock. A wrong refill can change the writing feel or affect the cap fit.

Step 3: Get one pilot unit before you authorize the full quantity

This step is not optional. It applies to a run of 10 or a run of 2,000. A single pilot Lamy pen lets you verify the nib, the barrel finish, the ink flow, and the refill code before the whole batch is committed.

Last year I rejected a batch of 200 promotional Lamy pens because the logo placement was off by about 2 mm on every cap. The vendor called it within industry standard. It was not our standard, so they redid the batch at their cost. That extra week was painful for the client's launch calendar. A pilot sample would have caught the misalignment before the full production run.

For a pen that will be carried and used, test the writing feel on normal office paper. Write loops, vertical lines, and small letters. If the nib skips in one direction or the rollerball or ballpoint refill feels dry, swap the pilot before you buy the rest.

Step 4: Treat the sublimation printer as a separate system

A sublimation printer is not just an everyday printer with special paper. It has its own color profile, transfer paper requirements, and maintenance needs. Dedicate a printer to sublimation if you can, because contamination from regular ink can make colors muddy.

And then, confirm the paper size. In North America the default office size is Letter: 8.5 by 11 inches, which is 216 by 279 mm. Much of the rest of the world uses A4: 210 by 297 mm, or 8.27 by 11.69 inches. So if you typed 'what is the size of printer paper' before starting this project, that is the direct answer. The physical tray might hold both, but the printer driver still needs to be set to the actual paper in the tray. Letter and A4 are not interchangeable.

For sublimation, also confirm you loaded the coated side correctly. If you print on the back side of transfer paper, the coating cannot carry the ink the way it should, and the transfer will look washed out. When in doubt, check the package rather than printing a test on a valuable sheet.

Step 5: Use the diagonal when paper size matters

Most people only check whether width and height fit inside the paper. That misses the diagonal. If a file is rotated, or if you need a long strip to fit on a sheet, the diagonal is the final limit. This is where the Pythagorean theorem comes in. It is not a classroom exercise; it is a quality check.

For Letter paper, the diagonal is the square root of 8.5 squared plus 11 squared, which works out to about 13.9 inches. For A4, it is about 364 mm. If your longest printed line is longer than that, no amount of rotating will make it fit on the sheet. Run the numbers through a Pythagorean theorem calculator if you do not want to do the squares by hand. Then add bleed and margin to that number before you approve the file.

I have seen print files approved because the layout looked fine on screen, only to clip at the edges when the paper tray was actually Letter and the driver expected A4, or when the design was rotated a few degrees too far. The diagonal math catches that early.

Step 6: Write the acceptance spec down and use it for reorders

After the pilot unit passes, write down the exact product specification. Include the Lamy model and nib width, the Lamy refill code if applicable (such as the Lamy M17 refill for the corresponding pen), the finish, the packaging requirements, the sublimation paper size, the printer profile, and any approved sample reference. I keep a simple spec sheet per product lot. On reorder, I inspect against that sheet, not against my memory of what the last shipment looked like.

If a supplier changes a component, the spec sheet forces them to ask for approval before manufacturing. That sounds administrative, but it has saved me more times than I can count.

Errors that still show up

  • Treating every special edition like the standard item. A Lamy Pokemon pen may have limited availability or unique packaging; factor that into your timeline.
  • Looking for the Lamy M17 refill by ink color instead of the code. If you don't know the code, take a photo of the old refill before asking for help.
  • Loading a sublimation printer with ordinary copy paper when you mean to burn a transfer. Regular paper won't release sublimation ink the same way.
  • Assuming the printer driver will detect whether the paper is Letter or A4. Drivers use the setting, not magic.
  • Skipping the diagonal check when the design is close to the edge of an 8.5 by 11 or A4 sheet.

Bottom line

Buying Lamy pens and setting up a sublimation printer is not complicated. The expensive mistakes happen when you skip the small checks: the actual user, the ink system and refill, the pilot unit, the paper size, and the diagonal. I use these checks in order, every time, and they work for most stationery projects. If your situation is genuinely different—say, a formal executive gift with a strict packaging presentation—find someone who works in that category and ask them. For the rest, this checklist should keep you out of trouble.
